Sales & Marketing Coordinator
This position reports to the Director of Booked Sales. They work closely daily with the larger sales team, UX professionals, developers, and other project managers/operations staff, as well as interfacing directly with clients.
Responsibilities

Sales Support
-
Create the proposal and manage the response process by coordinating timelines, gathering documentation, and formatting responses according to specifications (InDesign is preferred unless Word/Excel is required).

Identify, track and organize government procurement opportunities, RFPs/RFIs, and submission deadlines. Thoroughly review RFPs for requirements, key evaluation criteria, and deadlines.

Work with the Sales team to determine "go/no-go" decisions based on internal criteria, including budget, client fit, and strategic value.

Maintain accurate and up-to-date records in the CRM system (Hubspot), including contacts, deals/opportunities, and communications.

Ensure timely digital and physical submissions.

Assist with scheduling client meetings, preparing agendas, and documenting follow-ups.

Submit Public Records (FOIA) requests for both won and lost proposals. Coordinate internal reviews of past proposals to refine future submissions.

Marketing Support

Coordinate marketing campaigns tailored to government audiences (emails, newsletters, collateral).

Continuous maintenance of content library of case studies, project summaries, and marketing materials.

Assist in the organization of trade shows, industry events, and webinars targeting government clients.

Support digital marketing tasks including social media scheduling and website content updates.

Help manage vendor relationships for printing, advertising, and promotional materials.

You must be a U.S. Citizen or Green Card holder.

3+ years of relevant experience in marketing, writing, administration, and/or proposal management.

Ability to read, understand, and analyze legal and technical documents.

Strong capability to interpret technical requirements and translate them into accessible language.

Proven experience writing organized, persuasive, customized responses to RFPs or equivalent pitch opportunities.

Excellent project management skills, with a strong commitment to meeting deadlines.

Proficiency in Adobe Creative Suite or equivalent publishing/layout software with the ability to learn Adobe InDesign quickly.

Adaptability to changing conditions and opportunities.

Strong verbal and written communication skills.

Ability to interact with technical and non-technical project stakeholders; includes cross-department collaboration.

Willingness to travel occasionally within the U.S.
